Start with the deadline that matters

“Urgent” is a useful warning, but a date and time make the request actionable. Tell WTM when the order can be collected and when the Canadian business needs it. Identify whether that deadline is a warehouse appointment, a technician’s repair window or the first day stock must be available for sale.

Compare the complete journey: origin collection, export handling, flight arrangements, arrival handling, release and Canadian delivery. Airport-to-airport time is not the same as supplier-to-workshop time. Ask what timing is estimated and what commitment is included in the accepted booking.

Measure packages before requesting the rate

Air-freight pricing commonly considers actual gross weight and dimensional weight, with the applicable chargeable-weight method stated in the quote. Include every package and its outer dimensions. Ask which conversion and rounding rules apply rather than assuming a calculator on another website matches your offer.

Bulky protective packaging can change the price. Ask the supplier whether the goods can be packed efficiently while remaining adequately protected. A lower measurement is not useful if it excludes the crate or packaging required to move the item safely.

Declare special contents early

Describe the goods accurately, including batteries, liquids, aerosols, powders, magnets or temperature-sensitive contents where present. Provide available product and safety documentation for review. Do not describe an assembled device as ordinary accessories when its components affect acceptance.

For heavy or oversized pieces, supply individual weights and dimensions instead of a combined total. The complete load must fit the proposed handling and transport arrangement; an urgent deadline does not remove equipment constraints.

Use air selectively when one item is holding up the order

Planning example: a supplier in Shenzhen has a replacement control unit and several cartons of routine stock ready for a Canadian workshop. The unit is needed first. Ask WTM to compare the urgent air shipment separately from the replenishment stock. Identify the exact part reference and receiver; the supplier and buyer remain responsible for selecting the correct item.

For repeat purchases, define which stock follows the normal replenishment plan and which exceptions justify an air-freight request. This makes urgent transport a deliberate business decision rather than an automatic response to every late order.

Prepare the Canadian receiving handoff

Give the final postal code, business hours, delivery contact and package handling needs. If the freight needs onward transport from an airport handling location, collection must wait for the relevant release and availability instructions. A flight arrival message alone does not establish that goods can be collected.

Discuss a suitable local courier, pallet movement or urgent dedicated delivery with WTM. The freight brokerage service and LTL service help frame the Canadian delivery requirement.

Air-freight questions

Can WTM quote before the final weight is known?

Provide the best available estimate and identify it clearly. Final packed measurements may change the price and service.

Is air freight the same as an express parcel service?

No. Compare the actual service scope, handling and delivery arrangement for the shipment.

What documents should I prepare?

Have the commercial invoice, packing details, supplier and consignee information ready. Product-specific documents and import arrangements should be checked before release.
