Work backwards from the receiving deadline
A kitchen that closes receiving at 2 p.m. and an event beginning at 6 p.m. have different deadlines. In the first case, the goods must reach an available receiver before the cutoff. In the second, the organiser may need time to unload and place the delivery into storage before guests arrive.
Tell us the latest acceptable arrival and whether that time is flexible. Add the time the supplier will actually release the order. An urgent vehicle cannot collect cartons that are still being packed, so these two times are the foundation of the booking.
Use a ready-to-move shipment brief
Keep the request specific: prepared dairy cartons, boxed chilled desserts or packaged ingredients, with counts and packed dimensions. State the required temperature and whether the shipment must remain upright. A photograph can help explain an awkward container, but it does not replace the measurements.
Give the pickup contact the order reference before the driver arrives. At the destination, identify the receiving entrance rather than relying on the public street address of a large building. This is particularly useful for a restaurant inside a hotel or a business in a multi-unit property.
Separate a stock top-up from a refrigeration emergency
A top-up order consists of goods the supplier has prepared and released for shipment. An equipment failure creates an additional decision about the condition of the goods and the receiving storage. WTM can arrange transportation, but the product owner needs to decide what is suitable to move and provide the destination.
For urgent relocation of released stock, state the current packaging, quantity and available receiving space. Do not describe the job as an ordinary two-box delivery when it involves many storage containers or loading assistance.
Keep the receiver informed
Once the shipment is moving, real-time GPS tracking helps the customer follow its progress. Use that visibility to prepare for the handoff, not to assume an unopened receiving dock will become available. Provide a backup contact when the person who booked the delivery will be away.
After acceptance of the booking, WTM dispatches immediately; actual collection depends on the origin, shipment readiness and assigned equipment. The approved service establishes the delivery commitment.

Frequently asked questions
Can I request refrigerated delivery after the morning cutoff?
Yes. Contact dispatch about an urgent same-day movement. The 11 a.m. cutoff for the applicable scheduled next-day service is different from an individually arranged same-day booking.
Is same-day pickup the same as same-day delivery?
No. State that delivery must also be completed today, and have both parts included in the confirmed arrangement.
