Authorise collection before the driver arrives
Give the supplier the order number and tell them WTM will collect on your behalf. Confirm the goods are paid for or otherwise released under your purchasing arrangement. Courier quote approval does not automatically release a supplier's sales order.
Send WTM the release contact and collection instructions. A business may have a trade counter, warehouse dock and public entrance at different points on the property. Identify the location where the prepared order will actually be handed over.
Ask the supplier for packed measurements
The buyer may know what was purchased but not how it will be packed. Obtain the number of cartons or totes, external dimensions and total weight from the supplier. Add the required transport temperature and any instructions about upright or non-stackable packages.
Do not assume “one order” means one box. Final packing can create several packages, and the quotation should reflect the load that is ready to move. Inform dispatch when the supplier revises the count before collection.
Coordinate delivery with your own team
Name the person who can receive the goods and confirm the delivery window. When you are arranging the transport from another office, make sure the destination team knows the supplier and order reference. This prevents a correctly delivered order from becoming an unexplained arrival.
Include unloading access or additional carrying in the request. A supplier with a loading dock and a buyer with a small street-level unit have different handling arrangements at the two ends.
Keep purchase and transport decisions distinct
The supplier owns product selection and preparation. The buyer approves the transport quote. WTM confirms the collection and delivery arrangement. Keeping those roles separate avoids requests for the driver to choose substitutions, negotiate an invoice or wait while purchasing decisions are made.
For frequent collections from the same supplier, share the usual order pattern with WTM. Recurring service can be discussed, while individual requests still record the current quantity and required timing. Track the movement and retain the delivery record against your purchase order.

Request a new shipment, review and approve the quote, and pay online in the WTM Customer Portal. Follow the delivery with real-time GPS tracking and find issued BOLs, PODs, invoices and previous shipments in your account.
