Separate a stock transfer from a rejected-product return

The business should decide why the goods are moving and confirm that the receiving location has agreed to take them. A planned internal transfer is not the same as returning rejected or damaged stock to a supplier. Give the shipment a reference that reflects the actual transaction.

Keep product eligibility and inventory decisions with the food business. A courier booking does not establish that stock is acceptable for resale. Any concerns about condition or storage history need to be addressed by the responsible business before dispatch.

Build a transfer list from the packed goods

Record product lines, lot references and quantities in your inventory paperwork. Then provide WTM the number of outer handling units, their dimensions and weights. A stock system’s unit count is not the same as the number of cartons the driver collects.

Use clear labels so the receiver can distinguish this transfer from its routine supplier deliveries. Sealed cartons and an accessible packing list help the store check the movement without guessing which order the consignment belongs to.

Confirm compatible transport and receiving conditions

Give the product-specific temperature requirement and any necessary handling or recording instruction. Disclose different temperature groups rather than assuming one setting suits the whole transfer. The receiver should have the agreed intake arrangement ready when the shipment arrives.

For illustration, a retailer may transfer a small approved chilled range from a Lloydminster branch to a Calgary branch before a customer collection period. The destination manager needs the transfer list and receiving time, not just an unexpected box described as spare stock.

Keep the direct movement separate from routine distribution

A tight business deadline can justify a refrigerated hotshot. When timing is flexible, WTM can discuss planned refrigerated transportation instead. Tell dispatch the real deadline so the service is selected on that basis.

The Customer Portal provides quote approval, online payment, GPS tracking and available shipment records. Link the POD and transport invoice to the retailer’s transfer reference. The courier handoff closes the transport movement; the retailer completes its own inventory and product acceptance steps.
