Ask the buyer to identify the products and quantities that resolve the shortage. The fastest useful shipment may be a focused replacement order rather than the restaurant’s entire next replenishment. Keep substitutions under the buyer’s control.

Get the Calgary supplier to confirm availability and release. A quotation cannot turn a product that is still being sourced into a ready shipment. Include the supplier’s order reference and the person who will hand over the sealed packages.

Keep the frozen specification with the product

Use the supplier’s stated transport requirement and disclose it before dispatch. The order should be prepared and held for collection in the appropriate condition. Do not request chilled transport for a product that must remain frozen because both are described casually as cold.

Record the final carton count, weights and outside dimensions. Separate any products with different requirements. Packaging should protect the contents and remain suitable for handling at both the supplier’s loading point and the restaurant’s receiving entrance.

Make room for the delivery at the destination

Name the staff member accepting the order and identify where it will enter the building. A restaurant may be busy serving customers during the requested arrival window. Confirm that someone can receive and move the consignment into the business’s own storage.

For example, a manager may ask for a replacement to arrive before preparation for the next service. Give WTM that actual intake deadline, not merely the opening time listed on a public website. The receiver’s operational plan is what makes the delivery useful.

Track the replacement without losing its records

Use a new shipment reference linked to the replacement purchase. The WTM Customer Portal supports quote approval, payment and GPS location tracking. The available POD records the handoff, while the restaurant uses its own intake procedure to check the product and quantities.

After the shortage is resolved, compare the routine ordering pattern with WTM’s scheduled or recurring options. A refrigerated hotshot can handle the exception without becoming the default description for every ordinary food delivery.
