Choose an actual release arrangement
An authorised family member, colleague or building concierge may be able to hand over the shipment. Confirm that person agrees, knows which package is being collected and can be reached during the accepted pickup window.
A note saying “courier coming” is incomplete when several outgoing parcels are present. Provide the carrier name and shipment reference, and distinguish this consignment from any other collection expected at the address.
Do not confuse access with permission
A driver being able to reach a doorstep does not establish permission to enter a garage, office or storage room. Likewise, a gate code does not identify which goods may be removed. Explain the agreed collection point and the release authority during booking.
For a business, make sure staff at the relevant counter or loading point can release the order. For a residential address, arrange a suitable handoff with the person receiving the driver. Follow the applicable building or site rules.
Use a simple release checklist
| Confirm before the pickup window | Why it helps |
|---|
| Correct packed item is ready | The driver is collecting a known consignment |
| Authorised person has the reference | Avoids releasing the wrong parcel |
| Contact can answer the phone | Enables practical arrival coordination |
| Collection point is agreed | Avoids unclear entrance or inside-access assumptions |
| Contents and destination are identified | Keeps the physical package matched to the booking |
For multiple packages, provide the final count. Do not ask the person releasing the goods to add extra items without updating the transport request.
What to do if your availability changes
Tell dispatch as soon as the accepted plan no longer works. Offer a clear alternative authorised handoff or ask about another collection window. The timing and price may need review depending on what changes; this guide does not promise free waiting or unlimited collection attempts.
Avoid making the driver wait while a distant sender tries to locate someone with a key. A short conversation before the vehicle is sent is more useful than an unresolved release problem at arrival.
Keep the record of the handoff
Use the accepted shipment reference in messages to the release contact. The WTM Customer Portal supports booking and shipment records; real-time tracking is useful once the goods are moving. A tracking map is not a substitute for the sender arranging permission to release the parcel.
The guide to booking pickup from another address addresses remote bookings generally. This article focuses on the practical decision when the person paying cannot be present at pickup.
Can I leave the parcel with reception?
Only after reception and WTM have the appropriate instructions for an accepted collection. Confirm that someone can release it during the pickup window.
Can I leave it outside?
Do not assume that arrangement is accepted. Discuss any unattended proposal with dispatch, including how the correct package and release permission will be established.
You can be elsewhere when the pickup occurs, but the collection still needs a clear, authorised and workable handoff.
