Quote a beverage order as a packed load
Give the count and external dimensions of crates, cases or cartons, including packaging weight. Glass bottles, plastic bottles and mixed sample packs can have different protection and stacking requirements. Tell dispatch when the load must remain upright or when the packaging is not designed to support another case.
Check the final load before requesting collection. A production batch described as one hundred bottles may become several cases with additional empty space or protective packing. The completed outer packaging is what determines vehicle space.
Distinguish a retail launch from regular replenishment
A first delivery to a new café may include a small product range, display information and a contact unfamiliar with the supplier. Add the buyer's order reference and the person expecting the consignment. Keep paperwork or other items separated from the product packaging as the producer requires.
For recurring replenishment, establish the usual collection days and the deadline for changing quantities. A store that increases its order should have its new case count reflected in the delivery request, not merely on a revised supplier invoice.
Coordinate receiving rather than assuming counter access
A café's front counter is not necessarily the agreed receiving location for a wholesale chilled order. Confirm where the cases will be handed over and who will accept them. For multi-store buyers, give a separate reference and quantity for each location.
When a business is arranging deliveries to consumers, identify the recipient-contact plan and agreed handoff. Do not automatically apply a wholesale receiving arrangement to a home address. The courier needs the actual delivery instruction for each stop.
Use temperature instructions supplied by the producer
Describe the required conditions without making your own shelf-life claim. A courier booking should not promise that transportation changes a drink's expiry date or removes its need for refrigerated storage after arrival. The producer's product instructions and the receiver's storage arrangements remain important.
