Give the supplier's complete shipment description
State whether the order is chilled or frozen, the number of cases and the packaged weight. Describe containers that must remain upright or have particular handling needs. Where several products appear on one invoice, identify any difference in their transport requirements.
Use packaging suitable for the goods and the journey. The driver should receive closed, ready-to-handle outer packages, not be asked to repack the order at pickup. Include the release reference so the supplier can identify the exact consignment without relying on a product name alone.
Make the receiving point specific
A restaurant's customer entrance may not be its delivery entrance. Include the service door, unit number and kitchen contact. When the buyer runs several locations, put the destination on the transport order rather than assuming the usual branch is intended.
A precise arrival requirement helps distinguish a routine stock delivery from an urgent replacement for a service period. Give WTM the latest acceptable receiving time and the point at which the supplier can release the goods.
Organise a mixed restaurant supply request carefully
It may be convenient to collect several orders from one wholesaler, but the combined load needs a clear plan. Separate the restaurant orders, identify quantities and disclose handling requirements. Do not add unrelated products to the vehicle simply because they are being collected from the same premises.
For a distributor building a recurring delivery pattern, share the expected days and final-order timing. Dispatch can quote the actual pattern and assess changes when a new restaurant or additional product group is added.
Keep the delivery record useful to the business
Attach a recognisable order reference to the request so the POD can be associated with the supplier invoice. Tracking answers where the shipment is; the delivery record identifies its completed handoff. The receiver's product checks are a separate step.
