Match the package to the buyer’s review

Examples include fabric swatches, printed samples, packaged product components and finished display samples suitable for ordinary courier transport. Describe the actual goods and handling needs rather than using “sample” as the entire shipment description.

For example, a supplier can send a labelled swatch set and printed specifications to a buyer before a product-selection meeting. The shipment should identify the project or order reference so the receiving team can connect it to the right discussion.

This article concerns commercial product samples, not biological specimens or a specialised laboratory transport service.

Prepare the sample so it represents the product well

Secure pieces inside the package and protect items that could scratch or damage one another. Include the product names, versions or sample references the buyer needs, while keeping the external delivery label focused on the recipient and shipment.

Count and measure the packed pieces. A sample board and an accompanying carton may need to be identified separately. Tell WTM about any fragile or unusual shape before approving the quote.

The courier should receive a finished sample package, not instructions to assemble or choose its contents at collection.

Deliver for the meeting, not after it

Give WTM the time the samples will be ready and the latest useful arrival. The buyer’s review meeting may begin before the office stops receiving deliveries, so its deadline should appear in the request.

Include the company, department, suite and named receiving contact. Agree whether reception can accept the package or the buyer needs a direct handoff.

Plan any return as a separate movement

A reusable display sample may need collection after the review. Agree that return with the customer and provide the future ready time, destination and authorisation when requesting the return transport.

Keep the sample inventory and its condition records in your own business process. The courier’s proof of delivery records the handoff, not whether the buyer approved the product.
