Secure the workshop’s receiving agreement

Obtain the service reference, goods entrance, opening hours and named receiver. A technician agreeing to inspect a unit does not necessarily mean the workshop can accept an unscheduled delivery at any hour.

Ask when the equipment needs to be physically received for the intended assessment or repair slot. WTM can quote against that deadline. The carrier cannot promise a repair turnaround controlled by another business.

Prepare the component for road transport

List the final packed dimensions and gross weight. Secure loose accessories and identify lifting points or orientation requirements supplied by the owner or manufacturer. A unit should not be described only by its model name when loading requires a specific handling plan.

Disclose fluids, residues, batteries and any unusual condition before acceptance. The owner should organise the appropriate preparation; the courier is not booked to clean, drain or disconnect equipment at collection.

Decide which items belong in the urgent load

The failed assembly may need accompanying couplings, controls or documentation for diagnosis. Ask the workshop what must arrive with it. Alternatively, unrelated service spares may be able to follow by LTL instead of occupying the dedicated movement.

For an illustrative repair, a workshop might need both a drive unit and its matching controller to reproduce a fault. Confirming that requirement before departure is more valuable than discovering after delivery that the essential controller is still in Fort McMurray.

Keep the transport and repair records aligned

Put the service reference on the shipment and retain the POD with the workshop job. Delivery confirmation records the handoff; the workshop documents inspection, diagnosis and repair completion separately.

Not unless that arrangement is specifically agreed. The return depends on workshop completion and needs its own transport details.

Is hotshot necessary for every repair shipment?

No. A firm urgent deadline may justify it; a flexible palletised return may suit LTL instead.
