Verify the part before committing the vehicle
Have the buyer and supplier confirm the part number, revision and quantity. Include associated hardware that the maintenance team needs for the job. A fast delivery of an incomplete assembly may leave the same work waiting at the other end.
Record the supplier’s release reference and shipping entrance. If final inspection or packing is still underway, give the actual expected readiness and update dispatch when it changes. Order placement is not the same as a confirmed release.
Choose the receiving milestone that matters
A part may need to arrive before a crew handover, equipment-access window or workshop appointment. State that milestone rather than a vague “ASAP.” Identify who can accept delivery and who can approve a change in the plan.
For industrial receiving, provide the authorised gate and any advance arrangements. A city address on the purchase order does not give the driver permission to enter a separate operating site. Have the customer organise the necessary access before dispatch.
Match the hotshot vehicle to the packed kit
Provide the crate or carton dimensions, gross weight, centre-of-gravity concerns and available loading equipment. A dense component may require more than ordinary parcel handling even when it occupies little floor space.
WTM can assess enclosed Sprinter or 5-ton equipment for suitable loads. State tailgate requirements and handling restrictions in advance. The service is urgent transportation, not installation, testing or removal of the failed equipment.
Keep one usable reference through the job
Use the shutdown or work-order reference in the booking, then match the POD to the receiving team. The Customer Portal supports quote approval, payment arrangements, GPS visibility and issued shipment documents.
WTM dispatch begins immediately after confirmation; collection and arrival depend on the actual origin, release and agreed service. For current road conditions, use Alberta 511. Does hotshot booking mean the part is collected immediately?
Dispatch starts after confirmation. The pickup plan still depends on vehicle position, supplier readiness and the load.
Does the driver install the maintenance component?
No. The hotshot service covers the accepted transportation and handling, not installation or technical commissioning.
