Compare courier pickup with depot drop-off by adding the time and travel your business spends getting the shipment to the carrier. A lower counter price may still be the more expensive option when an employee makes a separate trip. On another day, a drop-off already on an existing journey may be perfectly practical.

Use a simple collection-cost calculation

For depot drop-off, combine the quoted shipping charge, additional staff time and incremental vehicle expense. For courier collection, combine the pickup-and-delivery quote with the staff time needed for the handoff.

Keep the same delivery deadline and destination in both quotes. There is little value in comparing tomorrow’s arrival with a cheaper service that does not meet the customer’s requirement.

Use your business’s own labour cost or time valuation. This worksheet does not need an assumed industry wage to be useful.

An illustrative example

Suppose a depot shipment costs $28, the separate drop-off trip takes 40 minutes valued at $30 per hour, and additional vehicle expense is $6. The combined cost is $54: $28 plus $20 plus $6.

Suppose collection and delivery are quoted at $44, with a ten-minute handoff valued at the same hourly amount. The combined cost is $49. These hypothetical Canadian-dollar figures illustrate the comparison; they are not WTM or competitor rates.

Change the assumptions when the circumstances change. A depot on a trip already being made may add very little travel time. Conversely, a technician leaving an active appointment may create a coordination problem beyond the journey itself.

Do not count the same cost twice

Packing is usually required either way. Keep identical packing costs outside the comparison, or include them equally on both sides.

Use either an appropriate all-in vehicle cost or separate incremental vehicle expenses; do not add fuel again when it is already included. Count only the portion of an existing trip that the drop-off actually adds.

For a repeat decision, look at several recent trips rather than the most inconvenient example. Shipment history and your own time records provide a better basis for choosing a routine.

Arrange collection around real readiness

Give WTM the packed shipment details, pickup contact, ready time and receiving deadline. A planned collection is most useful when the goods can be handed over without searching for an order or waiting for payment authorisation.

Yes. Arrange the supplier’s release authorisation and share the order reference and collection contact. That can remove a journey to the supplier as well as a separate carrier drop-off.
