WTM Logistics · Refrigerated · Southbound

WTM arranges refrigerated supplier deliveries from Calgary to Claresholm event receivers. A caterer or organiser can have packed chilled products delivered to its agreed goods-receiving point while the local team concentrates on preparation. Build the booking around the receiving team’s readiness and the product’s specified transport conditions.

Refrigerated Sprinters and 5-ton trucks · Product-specific conditions

Work backwards from preparation, not guest arrival

Ask when the kitchen or receiving team needs control of the order. Food may need to be checked, put into storage and organised before the event starts. State that receiving deadline when requesting transport rather than using the time printed on guest invitations.

Give the collection-ready time separately. A supplier still finishing the order cannot release it simply because the venue is open. Bringing those two endpoints together is the starting point for a practical refrigerated delivery plan.

Prepare a venue-specific consignment

Label the boxes with the organiser, event reference and receiver. If the supplier is preparing orders for multiple events, separate the Claresholm goods before pickup. A packing list can show the venue team what it expects without requiring the driver to open food containers.

State the packed count, dimensions and weight. Explain whether the load is hand-carried cartons, insulated containers or a pallet. Include fragile presentation trays and no-stack instructions in the quote so the vehicle space reflects how the order must travel.

Coordinate the actual goods entrance

Supply the venue’s accepted receiving point and a contact present during delivery. A hall, outdoor event site or hired kitchen may have different access from its public entrance. Describe gates, parking restrictions and unloading support so the handoff can be agreed.

For illustration, an organiser can nominate its catering lead to meet a refrigerated order at the approved entrance and move it into the event’s controlled storage. That is clearer than asking the courier to find someone at a venue with several contractors arriving together.

Keep temperature and food decisions with the right people

The supplier states the required conditions and releases prepared goods. The receiver manages its product checks and storage after handoff. CFIA discusses appropriate conveyance conditions and contamination prevention in its food preventive-controls guidance.

WTM’s refrigerated Sprinters and 5-ton trucks support different shipment sizes. A time-critical exception can be quoted separately from the planned event order. Include any reporting requirement with the original request; GPS location visibility is not a substitute for agreed temperature records.

Event-supply questions

Can the supplier arrange delivery on behalf of the organiser?

Yes. Identify the booking customer and the authorised receiving contact at the venue.

Does the booking include food service or moving goods around the venue?

The agreed scope determines the handoff. Request any additional handling explicitly while obtaining the quote.

Keep the cold-shipment instructions with the request

Use the WTM Customer Portal to submit the load and required conditions, approve your quote and make payment. Follow shipment location with real-time GPS tracking and access issued BOLs, PODs, invoices and history. Any temperature-reporting requirement is agreed separately; location tracking is not a temperature record.

A funded shipping credit account can provide up to 25% savings on eligible services. Confirm the applicable arrangement with your quote.
