Describe the chilled requirement and the pallet separately

Give the supplier’s required transport range for each product group. Then list every loaded pallet’s outside dimensions, gross weight and stacking restrictions. Temperature requirements and physical capacity are separate parts of the transport plan.

Identify any incompatible frozen or other temperature-sensitive products. Do not assume that sharing a purchase order makes them suitable for one refrigerated environment. Dispatch should agree the equipment and arrangement before the supplier releases the load.

Have the supplier prepare transport-ready freight

The product should be in the required condition and packed appropriately before collection. A refrigerated vehicle maintains the agreed transport environment; it is not a substitute for the supplier’s food preparation or quality-release process.

Include clear product and shipment references on the supplier’s paperwork. The carrier needs the number of handling units, while the receiver may need product quantities and lot references. Link those records rather than expecting a pallet count to answer every traceability question.
