Identify the replacement rather than the original short order

Give the supplier’s new release reference and link it to the buyer’s purchase in your own records. A replacement can have a different lot, carton count or packaging from the original order. Quote the goods being sent now, not the shipment that failed to arrive earlier.

The buyer decides whether a substitute product is acceptable. That decision should happen before the driver collects the consignment. WTM transports the authorised load rather than selecting replacements from a supplier’s available stock.

Keep packed products ready under their required conditions

Use the supplier’s product-specific temperature instruction and describe the finished cartons or crates. State the piece count, gross weight and external dimensions. Identify anything that cannot be stacked or must remain upright.

A mix of milk, cheese and other dairy products should not be treated as one temperature specification without the supplier’s confirmation. Disclose any different requirements so dispatch can determine a compatible arrangement. Refrigeration is part of the accepted transport plan, not an assumed setting.

Coordinate the Calgary receiving process

A food-service buyer may receive through a goods door, while a shop may use a different entrance and intake window. Give the exact address and authorised contact. Confirm that the receiving team can take the consignment into its own appropriate storage.

For illustration, a café operator could request sealed replacement cartons before its next preparation period. The useful deadline is when the staff need to receive and check the order. A delivery time based only on the business’s public opening hours may not serve that task.

Keep product and transport evidence connected

The food business uses its own intake process to verify the replacement. The available WTM POD records delivery; it does not certify every product line or replace the supplier’s documentation. Any logger or specific transport report should be requested before dispatch.

Use the Customer Portal to approve the quote, make the payment and follow GPS location. Once the replacement is complete, discuss your normal supply pattern separately. The urgent hotshot solves the exception; a recurring arrangement can address predictable orders.
