A freight estimate supports planning, a quotation states a proposed price and service on defined information, and a confirmed booking establishes the accepted transport arrangement. The precise terms depend on the offer and provider, so keep the stage visible in your records.
A calculator result is not the same as accepted vehicle capacity. Similarly, sending a form is not by itself proof that a shipment is booked. WTM’s freight service page distinguishes the request and review process from shipment confirmation.
A provider may use “quote” for a provisional amount. Read its stated assumptions and conditions rather than treating the word itself as a guarantee.

The table is a process guide, not a replacement for the actual quoted terms.
An early estimate may be based on approximate weight or unfinished packaging. Before acceptance, update the dimensions, gross weights, access arrangements and required dates. Identify what changed so the provider can review the complete revised request.
For an illustrative order, an early estimate might describe two pallets. The packed order could become three pallets with a non-stackable crate. Reusing the earlier price without review leaves both equipment and cost based on a different load.
Approving the commercial offer records the customer’s decision. The shipment still needs its operational confirmation and collection arrangement. At WTM, immediate dispatch after confirmation does not mean a vehicle is already at every possible pickup address.
Keep “ready for pickup,” “booking confirmed,” “driver dispatched” and “collected” as separate events. They answer different questions for the sender and receiver.
Record which version was accepted, then preserve any later changes and their approval. A new delivery address, added handling unit or changed receiving window should be attached to the same shipment reference with a clear description.
Do not overwrite history in a way that makes an earlier acceptance look as though it applied to newly added work. A simple change log is useful even when the conversation took place by telephone.
