Have your staff confirm the rental order, item list and condition record through your usual process. Package the equipment appropriately and identify each case or carton belonging to the shipment.
For illustration, a two-case lighting kit with a separate stand bag should be booked as three pieces. Keep the inventory list available to the rental business and receiving production team. The courier’s piece count supports transportation; it does not replace checking every component inside the cases.
Provide the name and mobile number of the person authorised to accept the rental equipment. Clarify whether the location is a studio, production office or another agreed meeting point.
Explain access, parking and any restrictions on entering the location. A street address may not identify the loading entrance used by a production team. Avoid sharing sensitive access instructions more widely than necessary for the booking.
Give packed weights and dimensions, mention fragile equipment and identify any batteries or other contents that need review. Follow the equipment maker’s or rental business’s preparation requirements.
Agree whether the job is a handoff at the entrance or a separately quoted inside-delivery service. Do not add setup, installation or equipment operation to a transport request by implication.
Tell WTM when the kit can be released and when the receiving team needs it for preparation. The start of a shoot may be later than the latest useful delivery time.

Confirm when equipment will be repacked before requesting return collection. The production team should check the kit against its list; an outbound delivery does not automatically include the reverse trip. Rental businesses can discuss 10% off recurring shipments for repeat transportation.
