Give the intended recipient’s name, business role and direct contact number. State whether an authorised colleague or reception desk may accept it instead. When a handoff must be made to one person, make that requirement explicit in the booking.
For illustration, a camera rental kit going to a production office may need the equipment coordinator rather than general reception. Giving the coordinator’s name and availability before dispatch is more useful than discovering at the door that nobody else can accept it.
Use packaging appropriate for the item and its transport instructions. Protect the contents from movement inside the container and make the outside piece count clear. Keep an item or serial-number list for your own inventory records where relevant.
Do not display the value of the contents unnecessarily on the outside. Provide information needed for quoting and transportation through the appropriate booking channel. Tell WTM about handling needs rather than expecting the driver to infer them from a sealed box.
Specify the entrance, department or reception point. A named recipient may work inside a building with a loading area separate from the public lobby.
