Build the shipment around campus destinations

Separate materials by campus before collection. Label every box with the school or building name, receiving contact and piece count for that destination. A combined purchase order does not mean all cartons belong at the same school.

For illustration, a central office might prepare four cartons of teaching packs for one campus and two for another. Recording those as separate destination groups makes the route and each handoff clear. Use internal distribution lists to verify contents before sealing the packages.

Use an authorised adult receiving point

Provide the office or receiving department that will accept the delivery, along with its telephone number and opening window. Do not use a pupil as the handoff contact.

Specify the entrance designated by the organisation. A school’s front office, service entrance and deliveries area may serve different purposes. Coordinate around the receiving arrangements supplied by the school rather than assuming the driver can walk materials into classrooms.

Fit delivery to preparation and teaching schedules

Give WTM the time the materials will be ready and the date they are needed. A classroom kit required before a workshop begins needs a different commitment from replacement stationery for the following week.

Where several campuses need routine replenishment, review whether the collection and receiving windows fit a recurring run. An exceptional shipment can be quoted separately instead of changing the whole distribution schedule.

Move supplies, not unplanned handling tasks

Provide packed weights and dimensions, especially for books, paper or equipment that is heavier than the carton size suggests. Identify fragile teaching devices and any special handling requirements when requesting the quote.

WTM’s Alberta courier service handles the agreed transportation. Assembly, classroom distribution and inventory checking remain with your organisation unless a different service has been expressly arranged.
