When an item was left out of an online order, the replacement delivery should be a clearly identified new shipment linked to the original purchase. Establish the replacement before booking

Keep the original order reference and add a clear replacement-shipment identifier. Sending the same order number without distinguishing the new package can confuse both the customer and the staff reviewing delivery records later.

Confirm where the customer now wants delivery

Do not automatically reuse the original address. The customer may be at work, travelling between branches or unable to receive during the same hours. Obtain the current authorised destination and contact.

Include unit, floor or business details and any access instructions. A replacement intended to improve the customer experience should not arrive with the same incomplete receiving information that made the earlier handoff difficult.

Pack the item as a complete shipment

Use appropriate protective packaging and provide the final dimensions and weight. Include the order or replacement reference so the customer can connect the small parcel to the larger purchase.

A single item still needs a prepared package and a clear collection point. Avoid booking against an item that staff have not yet located or checked. The ready time should reflect when the courier can actually receive it.

Choose a commitment you can explain

Tell WTM when the customer needs the missing item and when it will be ready. An urgent replacement may justify a different service from the original order; a planned delivery may be sufficient in another situation.

For example, a missing accessory required to use a product may need priority attention. The transport request should specify the actual deadline rather than promising an arrival before the courier arrangement is confirmed. WTM can quote the appropriate courier service for the route.

Keep the two delivery records separate

The original POD records the original parcel’s handoff. The replacement POD records the new item’s delivery. Keep both references with the customer order so your service team can answer later questions without treating the two movements as one.

Learn from the correction

Record why the item was omitted and update your own packing or checking process where needed. The courier solves the transport requirement; your business controls order completeness before dispatch.

Can a replacement be sent without collecting anything back?

Yes. Describe it as a one-way delivery of the prepared missing item. A customer exchange with a return is a different arrangement.

Can the customer receive at another address?

Yes. Confirm the new address and receiver before the quote is approved so the transport plan reflects the change.
