Keep the supplier reference and your production or purchase-order reference together in the delivery instructions. Where the order contains several small boxes, give the total outer package count rather than expecting the courier to inventory every individual insert.

The packed dimensions and weight are what matter to the transport request. A compact tooling case can weigh more than its size suggests; use a measured figure instead of describing it as a “small parcel.”
Deliver to the person who can put the order to work
Provide the machine shop’s goods entrance and receiving contact. State whether the order belongs with stores, purchasing or a named production supervisor.
An illustrative situation is an insert order arriving during a shift change. Naming the alternate authorised receiver before collection is more useful than having a ready package wait while everyone tries to locate the original contact.
Choose the service around the production requirement
For immediate requirements, explain when the work needs to continue and ask about direct courier or hotshot transport. For routine tool replenishment, plan recurring collections around the supplier’s ready-order times.
