Organise transfers by branch before collection

Label each tub or carton with its destination branch and a piece count. Separate outgoing material from stock awaiting processing or public collection. When several branches share a pickup, group the packages so the release contact can identify every destination.

For illustration, three tubs going to one branch and two going to another should not leave as an undifferentiated five-piece order. A destination-level count lets the collection and delivery contacts verify the handoffs.

Protect the materials and make the weight clear

Use suitable containers that can be closed and handled for transportation. Books can make a modest-sized box heavy, so provide actual packed weights rather than estimating from appearance.

Keep loose slips, accessories and small programme materials secured inside their assigned containers. Your library’s transfer records should identify the contents. The courier label needs the transport information, not a public list of patron requests.

Design the route around staffed receiving windows

Provide each branch’s authorised receiving contact and the period when they can accept transfers. A public opening schedule may not show staff access before opening or restrictions around particular entrances.

Discuss a recurring run when quantities and receiving times are predictable. Allow exceptions to be requested separately, such as a box of programme materials needed ahead of a special event. That keeps an urgent item from silently changing the standing route for every branch.

Distinguish transportation from library processing

A POD confirms the transport handoff; it does not mean every title has been processed into the receiving branch’s system. Keeping those steps separate makes staff communication clearer and avoids treating physical arrival as the completion of every internal task.

Can empty transfer containers be returned?

Include their quantity, collection points and destination in the requested route so the return movement is part of the quote.
