Keep the selection understandable outside your studio
Label each sample with the project reference and the supplier’s product identification. Where shade, pattern or finish options matter, retain the original reference instead of relying only on a photograph or a handwritten colour description.
Prepare a short kit list showing what should be inside. That helps the client confirm the set and makes the later return easier when the materials belong to a showroom or supplier library.

Protect presentation materials during the move
Use suitable closed packaging to keep swatches and sample books together. Separate pieces that could mark one another, and keep paperwork associated with the correct kit.
Tell WTM the packed weight, dimensions and number of packages. A sample book can be substantially heavier than a few loose swatches; describe the complete prepared kit rather than the number of colours it contains.
Choose a handoff that suits the consultation
Confirm whether the samples should go to the client’s office, a staffed showroom or your studio. Provide the receiving person and available hours.
For an illustrative remote consultation, the client may need the physical selections before the video meeting. Set the arrival requirement early enough for the client to unpack and identify them. The consultation start time should not become a last-minute doorstep deadline by default.
Manage outward and return movements separately
When samples need to come back, ask the receiver to check the kit against the list and repack it before collection. Give WTM the actual ready time rather than automatically assuming the consultation’s end means the package is ready.
Use the Customer Portal to request and approve transport, make payments and follow shipment progress. The POD and invoice remain with each movement. Regular studio and showroom collections can be discussed under the 10% recurring-shipment offer.
Can the supplier release the kit directly to the courier?
Yes. Provide collection authorisation and the supplier order or loan reference. Confirm the kit is packed and ready before the pickup is arranged.
Does the courier track which finish the client selected?
Your design process records the selection. WTM’s shipment record documents the transportation and handoff, not the client’s approval of a material.
