Freight accessorials are charges for additional services or conditions outside the defined base transportation scope. The practical way to discuss them is to describe the physical job before quoting—not to select “standard delivery” and hope it includes every requirement.

A particular service may already be included in a quote. This checklist is therefore a scope worksheet, not a claim that each item always attracts a separate fee.

Ask the receiving site concrete questions

Run the same check at collection. Pickup requirements can differ just as much as delivery requirements.

Why a building type is not enough

“Commercial address” does not tell a carrier whether the site has a dock, whether staff will unload or whether a large vehicle can access the entrance. A small retail shop and an industrial warehouse can both be commercial locations.

For an illustrative pallet delivery, “shop has no forklift; ground-level handoff needed at this entrance” is a useful statement. “Normal business delivery” is not an equivalent instruction.

Separate included services from possible changes

Ask the provider to confirm the planned work in the quotation. Then identify what happens if the actual conditions differ: the receiver is closed, the delivery point changes or an extra handling task is requested.

Do not pre-approve an undefined list of charges merely to avoid a conversation. Instead, record the service assumptions and the process for reviewing a changed job. Our freight quote comparison template includes space for both scope and exclusions.

Keep the site’s instruction with the shipment

A receiving instruction in one employee’s inbox may not reach dispatch. Put the key requirements in the request and retain the receiver’s detailed directions with the shipment reference.

When a new employee takes over receiving, confirm that the arrangement still works. Recurring shipments can develop new requirements even when the address has not changed.

Do not remove required work just to lower the quote

A pallet that needs a tailgate still needs a suitable unloading plan. Omitting that requirement changes the quotation, not the reality at the destination. The useful saving is arranging the right service clearly, not leaving work undisclosed.
