Protect the surface that the customer needs to inspect

Ask the sender to package boards so finished faces and exposed corners are protected. Separate pieces that could rub against one another and secure loose sample cards inside a suitable outer package.

Describe the packed weight honestly. A display board carrying several material samples may be heavier and more awkward than its footprint suggests.

Deliver to the decision-maker’s actual location

Confirm whether the samples are needed at the showroom, a design meeting, an occupied property or an installation site. The customer’s billing address may not be the right place for the handoff.

Include the receiving person’s availability and any site access instructions. When samples are needed for a booked meeting, provide the meeting time and request the delivery arrangement before promising their arrival.

For example, a designer comparing three finishes with a client can have the prepared set delivered to the meeting location, with any later return arranged separately.

Keep loaned boards from becoming forgotten stock

Record which samples belong to the showroom and which can stay with the customer. Arrange a return collection when the decision has been made, identifying the expected boards and their packaging.
