Explain what the deadline is protecting
A maintenance shutdown, a booked installation or a replacement needed before a crew leaves each has a different receiving priority. Give the latest useful arrival time and identify the person who can accept the load. There is no need to invent a downtime cost to establish urgency.
The freight must also be ready. Ask the supplier to confirm the correct component, release reference and loading point. Time spent waiting for an order to be packed is not highway transit time, so include both in the planning conversation.
Assign equipment to the prepared load
A small protected component may suit an enclosed Sprinter, while a larger crate may require a 5-ton truck or another appropriate freight arrangement. Provide length, width, height and gross weight, including the pallet or case.
Describe how the load will be put on and taken off the vehicle. A pallet at a dockless destination needs an unloading solution; it does not automatically require a flat deck. WTM can review tailgate-equipped transport where suitable for the load and receiving surface.
Keep a hotshot direct
A dedicated hotshot is not an open-ended list of supplier pickups added after departure. State the agreed collection and delivery points. If another stop becomes essential, dispatch must reassess its effect on timing and the quote.
For predictable smaller orders, scheduled courier may be the better fit. For non-urgent pallets, LTL can use shared capacity. These are different service choices, not weaker versions of a hotshot.
Confirm the final approach and handoff
A Red Deer industrial yard may have an entrance or loading bay different from its office address. Supply the gate, contact and safe unloading instructions. For a route affected by changing travel conditions, use current information such as Alberta 511 alongside dispatch’s shipment plan.
Follow the active movement through GPS tracking and retrieve the POD after delivery. The receiving team can prepare for the handoff without asking someone to leave the jobsite and drive to Calgary for the freight.
Is a hotshot only for heavy freight?
No. A small urgent package can justify dedicated transport when its deadline requires it. Vehicle selection follows the actual load.
Does immediate dispatch mean immediate pickup everywhere?
No. Dispatch starts after confirmation; reaching the pickup depends on vehicle position, access and shipment readiness. The booking establishes the practical commitment.
