Calgary ↔ Fort St. John · Refrigerated hotshot

WTM Logistics transports urgent chilled catering supplies from Calgary to Fort St. John when a missing order threatens a planned production schedule. Refrigerated hotshot is a dedicated transport option for the prepared cold consignment. Start with what is missing and when the kitchen needs to receive it, rather than using the event's guest-arrival time as the only deadline.

Separate the shortage from the full catering order

List the missing product lines, quantities and supplier release reference. The caterer should approve any substitutions before collection. A transporter can move the accepted order, but cannot decide whether an alternative ingredient suits the menu or the customer's requirements.

Keep the critical shipment focused. A few cartons needed to complete preparation may justify direct transport even when a much larger routine order is coming later. Quote the shortage itself so the vehicle and service match the immediate need.

Set the kitchen's receiving deadline

Ask the production lead when the goods must be in storage and available for preparation. Allow for the kitchen's own receiving and food-handling process. Transportation ends at the agreed handoff, not when the food is served.

Provide the FSJ receiving entrance, contact and available window. The delivery may go to a commercial kitchen rather than the event venue. That difference should be clear before the vehicle departs Calgary.

Specify the cold conditions and package layout

Describe the packed product groups and their required transport conditions. Identify frozen items separately from chilled ingredients. Do not assume incompatible groups can share one undivided temperature setting because they are part of the same menu.

Supply external dimensions, gross weights and non-stackable instructions. Protect fragile cartons and disclose any handling requirement associated with pails, trays or upright containers. WTM selects the appropriate refrigerated equipment from the actual prepared load.

Keep the team informed without losing the paperwork

Approve the quote and payment through the Customer Portal, then use real-time GPS tracking to follow the movement. The receiving coordinator can prepare for the agreed handoff rather than calling several suppliers for transport updates.

Retain the POD, invoice and supplier records together. When the event cycle repeats, discuss planned refrigerated transportation and keep hotshot as the option for genuine exceptions. WTM's 10% recurring-shipment offer can support an agreed regular pattern; the funded-credit offer is a separate account arrangement.

Frequently asked questions

Can delivery go to a production kitchen instead of the event venue?

Yes. State the actual receiving address, contact and window when the shipment is quoted.

Can chilled and frozen catering items share a hotshot?

Only under an accepted arrangement that meets both sets of conditions. Disclose the product groups before approving the service.
