Ask reception about the actual arrangement
Confirm the guest name and any reference the hotel requires. Ask which address or entrance should be used, who can accept the parcel and whether delivery before check-in is permitted. Do not assume staff will recognise a package using only a first name or an unfamiliar nickname.
The hotel may have specific handling or holding arrangements. Obtain those directly from the property rather than expecting the courier to negotiate them at arrival.
Put the arrival inside a usable window
A parcel delivered after checkout may miss the person it was intended for even when it reaches the right building. State when the guest needs it, not just the date they will be somewhere in the city.
For an urgent item, ask whether a dedicated service is needed and feasible. For a later arrival, compare a suitable scheduled option. The receiving window should be included in the transport request from the start.
Keep identification useful and proportionate
Use the name or reference approved by the hotel along with its correct physical address. Include a contact for the booking customer and the receiving arrangement. Do not place unnecessary travel documents, payment details or other sensitive information on the exterior of the parcel.
If the delivery is to a conference team rather than an individual guest, identify the organiser and receiving point. A parcel for an event office should not be routed solely using a guest-room reference.
Distinguish delivery to reception from delivery to the guest
| Stage | What to agree |
|---|
| Carrier arrival | Approved hotel entrance and receiving window |
| Hotel handoff | Authorised person or process accepting the parcel |
| Internal guest notification | Hotel’s own arrangement with the guest |
| Guest collection from staff | Guest and hotel responsibility unless otherwise arranged |
The carrier POD records the agreed delivery handoff. It should not be described as evidence that the guest has opened the parcel when the accepted service ends at reception.
Plan changes before they become another trip
If the guest leaves early or moves to another property, contact dispatch before treating a new destination as accepted. Changing the address may alter the route, timing and price. Inform the original hotel so its staff do not expect the wrong consignment.
A parcel left behind after checkout involves a new authorised collection, not an automatic reverse of the incoming delivery. Confirm it has been found, packed and released for collection before requesting transport.
WTM can assess personal and business parcels on its applicable routes. Use the quote form to provide the contents, size, weight, origin and hotel receiving arrangement. The Customer Portal supports the accepted shipment’s records and GPS tracking.
Can a courier leave the parcel at reception when the guest is absent?
Only when the hotel and booking parties have agreed that receiving arrangement. Do not infer permission from the presence of a front desk.
Is hotel delivery automatically an inside-delivery service?
Clarify the quoted handoff. Additional carrying, room delivery or placement should not be assumed.
Arrange the hotel’s acceptance first, then book transport for the stay dates that actually matter.
