Release the exact assembly

Have the purchaser and supplier confirm the model, configuration and included accessories before pickup. Use a purchase-order or work-order reference that identifies the complete prepared consignment. A similar-looking spare is not a transport substitute for the assembly the maintenance team has approved.

State whether the item is new, repaired or a loan unit. That distinction can change the paperwork the sender provides and whether a separate old component must later be returned. WTM moves the released equipment; the responsible technical team determines its suitability for the job.

Describe the crate and its handling

Provide external crate dimensions, gross weight and the manufacturer's lifting or orientation instructions. Include projecting components, skid runners and protective packaging in the measurements. A compact assembly may be heavy, while a larger crate may need protected non-stackable space.

Tell dispatch what can load it in Calgary and unload it at the FSJ receiver. A workshop forklift, warehouse dock and site gate are not interchangeable handoff arrangements. Suitable enclosed or 5-ton equipment is selected against the prepared load and access requirements.

Make the urgent deadline meaningful

Give the supplier's confirmed release time and the time the receiving crew needs possession. State any check-in or appointment requirement. WTM dispatch begins immediately after confirmation, while the collection time depends on the assigned vehicle and origin.

Direct hotshot avoids waiting for shared-load consolidation. It does not remove the need for a feasible route and ready receiver. Use the confirmed transportation commitment to plan the maintenance handoff rather than borrowing a driving estimate from a different shipment.

Keep the transport record linked to the repair

Approve the quote and payment through the Customer Portal and follow the load with real-time GPS tracking. The receiving coordinator can prepare the unloading point using the agreed arrival information.

Retrieve the POD and invoice against the maintenance reference. Delivery confirms that the equipment changed hands; installation and commissioning remain with the responsible crew. When a used assembly must travel back to Calgary, quote that return separately with its own packaging and release details.
