A percentage-based freight fuel surcharge is calculated by applying the stated percentage to the stated charge base. The important details are the base, the applicable percentage and the effective date—not the percentage alone. Some quotes include fuel within the total rather than displaying it separately.

Ask what the percentage applies to

A quoted fuel percentage may apply to a defined transportation amount rather than to every invoice line. Read the quoted terms and request clarification where the charge base is unclear. Do not automatically apply a transportation percentage to taxes, unloading or unrelated services.

The calculator demonstrates a user-entered percentage applied to a user-entered base. It is not a live fuel index, a WTM surcharge table or a current freight quotation.

Worked example

Assume a hypothetical base transportation charge of $800 and a quoted fuel percentage of 18%. The fuel component is $800 × 0.18 = $144. If another $60 service is outside that percentage base, the subtotal is $800 + $144 + $60 = $1,004, before any applicable tax.

If the accepted pricing terms use a different base, use that base instead. The mathematics can be correct while the invoice check is wrong because the wrong lines were included.

Record the provider’s rule for selecting the applicable period. Do not substitute the rate visible today when auditing an older shipment unless the agreed terms call for it.

A lower percentage can still produce a higher total

Compare hypothetical Offer A at $800 plus 18% fuel with Offer B at $850 plus 12% fuel. A totals $944; B totals $952 before other equivalent charges. The smaller percentage does not make B cheaper.

What to ask WTM

Ask whether the quotation includes the applicable fuel component and which additional services are included. Retain the quote with the shipment record so your accounts team can compare the final invoice against the accepted basis.
