Identify the item without exposing sensitive information
Ask the person holding it to confirm what they will release. Place small items in a sealed, suitable envelope or package so they do not travel loose. Use a simple shipment reference and recipient name.
For keys, avoid attaching unnecessary information identifying the property they open. Keep access instructions and personal details within the booking conversation rather than on the exterior of the package.
For example, a colleague holding a forgotten key pouch can package it and hand it to the courier for delivery to its owner. The courier does not need the history of the keys or unrelated information about the owner’s home.
Arrange two clear human handoffs
Provide the name and phone number of the person releasing the item. Confirm they are authorised to do so and available at the stated collection time. If a reception or lost-property desk is involved, follow its release process first.
At delivery, name the recipient and agree how they will receive the parcel. A key package should not be left through an assumed neighbour, concierge or unattended handoff. Put the receiving instruction in the request.
A courier collection can proceed without the owner attending the pickup when the authorised release and final receiver are clear.
Describe timing and packaging
Give WTM the ready time, latest acceptable arrival, full addresses and units. Mention the packed dimensions and weight, even when the parcel is small. A laptop bag, key envelope and box of belongings are different items.
