Create a clear intake reference

Tell the customer which accessories to include. A power adapter needed for diagnosis should travel in the package; unrelated accessories should not be added without the repair shop’s instructions. Retain your own item list for the workshop’s intake check.

Prepare equipment for the journey

Ask the customer or releasing business to package the device for transport, protecting screens, corners and moving parts. A laptop sleeve alone may not provide the protection intended for a courier shipment. Use appropriate packaging for the device and tell WTM its completed dimensions and weight.

Disclose installed or separately packed batteries and any known damage when arranging the service. The transport request should describe the actual equipment, not leave the driver to discover an important handling issue at pickup. Keep passwords and confidential access instructions out of the external shipping label.

Separate transport from technical approval

The repair business decides the diagnosis, quotation and authorisation process. WTM’s collection does not mean the customer has approved repair charges or that the device has passed a condition inspection.

Similarly, the delivery record identifies the handoff. Your service intake record should document the equipment and accessories your team receives. Keeping those records distinct helps when the customer asks about an adapter, prior damage or a repair estimate later.

Arrange the return when the device is ready

Provide a new ready time after repair and testing are complete. Confirm the customer’s receiving address rather than automatically using the original pickup point; the device may need to return to a workplace or another authorised person.

For example, a laptop collected from a branch can return to the employee’s main office after service. Put that change in the return request so it is priced and routed correctly, with the appropriate contact at the destination.

Give customers visibility without extra administration
