A customer exchange by courier has two jobs: delivering the replacement and collecting the item being returned. WTM Logistics can arrange the transportation around those agreed handoffs, helping your business resolve the exchange without asking the customer to make another trip.

Decide how the exchange will work

Your business should establish whether the customer receives the replacement before, during or after the return collection. That decision affects the courier arrangement and the customer’s expectations.

A simultaneous exchange needs the return packed and the customer available at the agreed handoff. A collection followed by a later replacement may be more suitable when your team must inspect the returned product first. Make that sequence clear before transport is booked.

Label the replacement and the return separately

Use an order reference for the outbound parcel and an exchange or return reference for the item coming back. Provide the packed dimensions and weights for both. A replacement in a new box may not have the same measurements as the customer’s repacked return.

Give the customer packaging instructions from your business before collection day. The driver should be collecting a prepared package, not deciding how to dismantle, inspect or repack the product at the door.

Define the handoff, not a product dispute

Tell WTM who can release and receive each item. At a commercial address, include the department or loading entrance; at a residential address, include the unit and access contact.

The courier’s role is transportation and the agreed handoff. Your business determines product eligibility, refund decisions and replacement suitability. A driver collecting a sealed return is not approving its condition or deciding whether the customer’s claim is valid.

Plan for the package that is not ready

A replacement may arrive at a customer who has not yet packed the return. Decide in advance whom dispatch should contact if the exchange cannot proceed as planned.

Do not promise the customer that the courier will wait indefinitely, perform an inspection or complete another visit at the same price. Agree the actual service and keep a clear contact available to resolve a change. That is how a helpful exchange avoids becoming two confusing delivery stories.

Keep both shipment records accessible

When a customer later asks whether the returned item reached your warehouse, use the return movement’s POD—not the replacement delivery confirmation. Each handoff answers a different question.
