An inter-office document courier moves the physical records your branches still need to exchange: signed originals, bound files, sealed correspondence and prepared document packs. A scanned copy may help colleagues review a document, but it does not move the original. Book a business document collection with the releasing office, receiving person and required arrival time.

Identify the destination inside the building

Use the complete address, including floor, suite and department. Name the receiving contact and explain whether reception can accept the package on their behalf. A building with several offices needs more than a company name on an envelope.

Include collection instructions too. The sender may work remotely while the envelope is held by an office administrator. Tell WTM who physically has the documents and when that person can hand them over.

Pack for identification without exposing the contents

Seal the document pack and label the outside with the information needed for transportation. Use a protective envelope or rigid packaging when the documents must remain flat. Several folders may be better secured in a labelled carton than carried as a loose stack.

Keep sensitive content inside the package. A reference identifying the consignment is useful; a detailed description of private business information on the outside generally is not. Your team should retain its own record of what was enclosed.

Choose between a planned exchange and an urgent original

A regular weekly movement of branch records can be organised as scheduled courier work. A signed original needed for a meeting later that day requires a different delivery commitment.

Explain the real deadline rather than simply writing “urgent.” When the receiving office closes at a particular time, that closing time matters even if someone remains elsewhere in the building. WTM can arrange the appropriate service using its Alberta courier network.

Keep the return movement visible

An office may need to review, sign and send a document back. Treat the return as a separate movement unless both handoffs have been specifically arranged. Delivery to the first office does not establish when its staff will finish the paperwork.

For example, send the original to the named receiver, obtain the completed delivery record and then arrange return collection once the office confirms it is ready. This keeps transportation timing separate from the internal approval process.

Give administrators a usable record

The WTM Customer Portal supports requests, quote approval, payment and shipment tracking. Access the POD after the handoff and keep the invoice with your shipping records. Shipment history helps locate a previous transfer when colleagues need to trace a document pack later.

Is this the same as a court-filing service?

No. This article concerns transport of prepared business documents between offices. Any filing, submission or specialised appointment is a separate requirement to identify when requesting service.

Can reception sign for the documents?

Tell WTM which recipient or authorised reception contact may accept them. The receiving instructions should reflect your own handoff requirements.
