Build one clear collection brief

List each supplier’s name, exact collection address, order reference, contact and release window. Add the number of packages expected at that stop, with dimensions and weight. Mark an order that is still being picked rather than presenting it as ready.

Your supplier may have a sales desk, warehouse entrance and separate collections counter. Identify the correct handoff point. A purchase order number useful to your accounts team may not be the release number the warehouse needs.

Let timing shape the route

A supplier closing at noon creates a different constraint from one ready to release at three. WTM needs that information to plan an achievable collection sequence and delivery arrangement.

Do not assume the nearest supplier should always be first. Readiness and opening windows can be more important than the distance between two addresses. Likewise, adding a stop after approval changes the job; pass the revised details to dispatch so the route and price reflect it.

Keep each supplier’s goods identifiable

Ask suppliers to label their prepared packages with your business name and an identifiable order reference. Keep a simple expected-piece list so your receiving team knows, for example, that two cartons come from one supplier and a sealed case from another.

The courier transports the released packages. Your supplier remains the source of product compatibility and order-picking information. Resolve substitutions or missing items with the supplier rather than expecting the driver to make a purchasing decision at the counter.

Decide whether everything must arrive together

Sometimes a consolidated delivery suits the whole order. In other cases, one urgent component matters more than the rest. Tell WTM which deadline drives the job.

For illustration, a service business may need a replacement controller immediately but can receive packaging supplies later. A dedicated urgent collection for the controller and a scheduled arrangement for the remaining goods may fit better than delaying everything until the last supplier is ready.

Manage approval and follow the delivery

Use the WTM Customer Portal to request the work and approve the quoted arrangement. Follow the shipment using real-time GPS, then retain the available delivery record and invoice with your supplier orders.
