Check whether the handoff occurs at reception, a service door or another designated point. Drivers cannot turn a restricted door into an authorised delivery route simply because the item is urgently needed. Agreeing the entrance ahead of time gives the booking a workable destination.
“Exhibition materials” can mean a small envelope or a large display case. Provide the piece count, dimensions, weight and handling needs. Explain whether the item is portable at the approved entrance and whether stairs or lifts are involved.
For example, an illustrative box of replacement name badges can be handed to an organiser at reception. A heavy display panel may require different equipment and a loading appointment. The collection should be quoted for the actual package and agreed handoff.
An event’s opening time is not necessarily the delivery deadline. The organiser may need the materials earlier for assembly, labelling or distribution.
