Work back from the receiving cutoff

Start with the recipient’s published submission instructions. Identify the address, room, counter or authorised receiving office, together with its opening hours and any appointment requirement. Tell WTM the deadline and the time your package will actually be sealed and ready.

For example, an illustrative package required at a procurement desk by 2 p.m. needs more than a request to reach the building before 2 p.m. The driver may need to enter through reception and reach the designated desk. Plan the agreed arrival with that handoff in mind.

Keep the sealed submission clearly identified

Prepare the package exactly as the recipient directs. Place the receiving information where the driver can read it without opening the submission. Include your business contact and any permitted exterior reference.

Count separately sealed packages and distinguish originals from any accompanying materials. A driver should not need to decide whether an unlabelled envelope belongs to the same submission or a different recipient.

Specify what happens at reception

Explain whether reception is authorised to accept delivery or whether the package must reach a named office. Provide the relevant contact number and instructions for a changed access point.

Track transportation and keep the receipt

The WTM Customer Portal supports requesting the shipment, reviewing and approving the quote, paying online and following real-time GPS tracking. Access available proof of delivery afterwards with the shipment’s other records.

GPS shows transportation progress. The POD records the courier handoff. The receiving organisation determines whether a submission satisfies its requirements; transportation confirmation does not replace that decision.

Keep one person available until delivery is complete

Choose a contact who can respond if the submission desk moves or building access changes. That person should know the instructions and have authority to clarify the delivery arrangement promptly.

For repeat business-document work, retain the receiving details in your own submission checklist and refer to previous shipment records when preparing the next request. Recheck each new deadline rather than assuming the previous instructions still apply.
