Agree the return list with the customer before booking. Identify the main unit, cases, leads, attachments and separate cartons expected in the collection.
Keep serial numbers or demonstration references in the appropriate paperwork. That helps your receiving team identify the unit without expecting the courier to inspect or assess the equipment’s operation.
If an accessory is missing, resolve the instruction before collection: should the available items travel now, or should the collection wait for the full set?
Ask the sender to prepare the equipment in suitable transport packaging and provide its actual packed quantity, weight and size. The return may occupy a different configuration from the original outbound shipment.
Tell WTM about fragile, high-value or specially handled items when requesting the quote. Larger units can be assessed for suitable truck or white-glove handling rather than assumed to be ordinary parcels.
The equipment may be returning to your office, a warehouse or another authorised service receiver. Give the actual address and contact rather than using an old outbound label in reverse without checking it.
If it is needed for another demonstration, tell WTM the transport deadline. Keep the decision to release the unit for another trial separate from the courier’s confirmation that it has arrived.
Use the WTM Customer Portal for the request, quote approval and payment. Follow the return with live GPS and retrieve the available POD and invoice after the movement.
Your own receiving team can then reconcile the returned unit and accessories with the trial record. The courier POD records the handoff; your equipment inspection records condition and completeness.
