Get the Calgary return destination right
Ask the supplier to confirm the return authorisation, receiving address and hours. Its returns department may use a different location from the original dispatch warehouse or sales counter.
Give WTM the return reference and the person or department expecting the goods. Keep that identification on the packed order as required by the supplier.
Supplier approval of a credit or refund is separate from the courier delivery. The shipping instruction should explain where the authorised goods are going, not assume the driver can negotiate acceptance at arrival.
Prepare the Banff collection
Name the person releasing the goods and the appropriate entrance or receiving area at the Banff premises. Confirm that the items are packed and ready for the agreed collection.
State the actual return count. If a business received six cartons but is returning two, the transport request should describe two—not repeat the original delivery paperwork unchanged.
Identify anything requiring special handling, including fragile contents or large packages, before the quote is confirmed.
Fit the return to both businesses’ hours
Provide the Banff ready time and the Calgary supplier’s receiving deadline. A convenient collection time is not enough when the returns department closes earlier than the rest of the business.

Keep evidence of the return handoff
Manage the quote and payment through the WTM Customer Portal. Follow real-time GPS during the movement, then retrieve the POD and invoice afterwards.
Keep the return authorisation and supplier order number with the shipment record. That gives your business the transport reference to use when following up on the supplier’s separate credit process.
